Whistleblower Policy

Smart Robotic Process Automation (SmartRPA) wants everyone to feel secure in expressing themselves freely and in raising any concerns, including if they experience illegal or unethical behavior. Employees, customers, business partners or other persons affiliated with SmartRPA who wish to report unacceptable conditions or illegal activities at SmartRPA can do so safely and anonymously through whistleblower.dk without fear of retaliation or similar.

Introduction
This policy sets out the scope and purpose of the whistleblower system for SmartRPA. It describes who can submit reports, what can be reported and where to make a report.
The preferred approach should always be to address concerns directly with the immediate manager without concern for retaliation, harassment, or other discrimination. However, in some situations, the standard communication channels are not sufficient. Therefore, the whistleblower system provides a safe and anonymous platform to report concerns of unlawful or unethical conduct related to SmartRPA.


Who can submit a report?
The whistleblower system is global and applies to all SmartRPA employees as well as other persons with an affiliation to SmartRPA.
Any of these persons may report concerns detected as part of his/her engagement or work-related activities. Persons affiliated could be customers, external consultants, suppliers, auditors, business partners as well as persons that have not started their work-related engagement yet, but report offences detected as part of the recruitment process or re-contractual negotiations.

What can be reported?
As a person affiliated with SmartRPA you can report to whistleblower.dk if you know about or have reasonable suspicion of business misconduct, severe, substantial and/or repeated errors and omissions in the organization. Examples of serious issues that can be reported through the whistleblower system include:

  • Breach of law and non-compliance legal matters
  • Fraud and corruption
  • Theft
  • Cases of harassment and discrimination

The above issues serve as examples only. If you are in doubt about whether you should report an issue, we encourage you to do so. All reports are processed, and your help is essential for us.

How to report
Reports can be made anonymously and safely reported through whistleblower.dk, a national whistleblowing line. Information about how reports are handled, protection of identity and deletion of reports can also be found on whistleblower.dk
